How Praxis uses and protects personal information
Praxis Academy is operated by Praxis Learning Centre CIC, company number 17080904. Praxis Learning Centre CIC is the data controller responsible for deciding how personal information is collected, used, stored and shared.

This notice applies to information collected through this website, enquiry forms, email correspondence, telephone conversations and pre-opening discussions. Additional privacy information will be provided when Praxis begins processing information for referrals, placements, employment or commissioned services.
Information we may collect
We collect only the information reasonably needed for the purpose for which it is provided.
- Name and contact details
- Organisation, school, local authority, role or professional position
- The type and purpose of an enquiry
- Correspondence, meeting notes and records of our response
- Information supplied by a parent, carer, commissioner or professional when discussing possible support
- Technical information collected when someone uses the website, including device, browser, internet protocol address and cookie information where applicable
- Limited information about a child where it is necessary to understand a preliminary enquiry
- Health, SEND, safeguarding, ethnicity, religion or other sensitive information where it is lawfully and necessarily supplied for a defined purpose
Please do not submit a child’s full name, address, detailed medical information, safeguarding history, education records or confidential documents through the general website form. Praxis will explain how sensitive information should be shared securely if it becomes necessary.
Why we use personal information

- To consider whether a proposed service or future placement discussion falls within the developing Praxis offer

- To establish, exercise or defend legal claims where necessary
Praxis does not sell personal information. Personal information supplied for an enquiry will not be used for unrelated marketing without an appropriate lawful basis.
Our lawful bases
Under the UK General Data Protection Regulation and the Data Protection Act 2018, Praxis must have a lawful basis for each use of personal information. Depending on the circumstances, Praxis may rely on:
Legitimate interests
To operate the developing provision, respond to enquiries, maintain records and communicate with relevant people, where these interests are not overridden by the rights and interests of the individual. Additional care will be taken where information concerns a child.
Contract
Where processing is necessary to take requested steps before entering into a contract or to perform a contract with an individual or commissioning organisation.
Legal obligation
Where information must be processed to meet a legal duty, including relevant safeguarding, employment, company, financial or data-protection responsibilities.
Vital interests
In limited circumstances where processing is necessary to protect someone’s life.
Consent
Where consent is the appropriate basis for a specific optional use. Consent may be withdrawn, although this will not affect processing that has already taken place lawfully.
Sensitive and safeguarding information
Information about health, disability, ethnicity, religion, sexual orientation or other matters protected as special-category data receives additional legal protection. Where Praxis processes this information, it will identify both an Article 6 lawful basis and an Article 9 condition under the UK GDPR.
Depending on the circumstances, the relevant condition may include explicit consent, vital interests or substantial public interest supported by the Data Protection Act 2018. Criminal-offence information will only be processed where the law permits it and appropriate safeguards are in place.
Safeguarding information may be shared without consent where this is necessary and lawful to protect a child or another person. A concern about consent must not prevent necessary safeguarding action.
Where information comes from
Information may be obtained directly from the person making an enquiry. It may also be supplied by a parent, carer, school, local authority, commissioner, health or social-care professional, safeguarding agency, contractor or another person involved in the matter.
Where information is received from someone else, Praxis will provide appropriate privacy information unless an exemption applies or doing so would be impossible, disproportionate or likely to prejudice safeguarding activity.
Who information may be shared with
Information will only be shared where there is a defined purpose and an appropriate lawful basis. Recipients may include:
- Schools, local authorities and authorised commissioners
- Children’s social care, the police, safeguarding partnerships and other statutory agencies
- Health, SEND, therapeutic or social-care professionals involved in authorised planning
- Professional advisers, insurers, auditors and legal representatives
- Technology and service providers supporting the website, email, records and administration
- Regulators, courts or public authorities where disclosure is required or permitted by law
Wix supports the operation and hosting of the website. Google Workspace supports business email and related administration. These providers process information under their own contractual and security arrangements.
Praxis will not disclose information simply because it has been requested. The purpose, authority, necessity and proportionality of a proposed disclosure will be considered.
International processing
Some technology providers may process or store information outside the United Kingdom. Where this occurs, Praxis will use providers and arrangements that offer an appropriate legal safeguard, such as an adequacy regulation or approved contractual protections.
How long information is kept
Personal information will not be retained for longer than it is reasonably needed. Retention will depend on the purpose, the nature and sensitivity of the information, legal and contractual requirements, safeguarding responsibilities and whether the information is required for a complaint, dispute or legal claim.
General enquiries that do not progress will normally be deleted or anonymised after the reasonable follow-up period recorded in the Praxis retention schedule. Referral, safeguarding, complaint, placement, staff and commissioning records may require different retention periods.
Security
Praxis will use proportionate organisational and technical measures to protect personal information. These will include access controls, secure accounts, appropriate sharing methods, staff expectations, record-management procedures and action to address suspected data breaches.
No internet, email or electronic-storage system can be guaranteed to be completely secure. Sensitive information should only be submitted through an agreed secure route.
Your information rights
Depending on the circumstances and the lawful basis used, individuals may have the right to:
- Be informed about how their information is used
- Request access to their personal information
- Ask for inaccurate information to be corrected
- Ask for information to be deleted in certain circumstances
- Ask for processing to be restricted
- Object to processing based on legitimate interests
- Receive certain information in a portable format
- Withdraw consent where processing relies on consent
- Request human review where a significant decision has been made solely by automated means
These rights are not absolute. Praxis may need to verify identity and may lawfully withhold or limit information in particular circumstances, including where disclosure would adversely affect another person or prejudice safeguarding activity.

Current status
Praxis is opening soon and is not currently operating with pupils in attendance. This notice currently covers website use, enquiries, correspondence and pre-opening planning. It will be reviewed before pupil referrals, placements, employment records or live educational services are processed.
